Submission Preparation Checklist
As part of the submission process, authors are required to check off their submission's compliance with all of the following items, and submissions may be returned to authors that do not adhere to these guidelines.-
Peer Review and Evaluation:
Our peer review policy is designed to be both rigorous and constructive, taking into consideration the author’s academic level and experience, while maintaining a spirit of understanding and support. We view undergraduate students as researchers in training and believe that the publication of their research is an essential part of their academic development.
Every submitted manuscript undergoes a double-blind peer review process by two to three qualified reviewers who are experts in the relevant field. The decision regarding publication is based on the reviewers’ evaluations.
If the manuscript is accepted, reviewer comments will be sent to the author(s), who may be required to revise or expand certain academic elements. Authors are expected to work collaboratively with the editorial team to implement the requested revisions. The review process typically takes two to four weeks, and authors are kindly requested to remain patient during this period. -
Step 1: Manuscript Submission
• Author: The manuscript is submitted via email ( hurj@hu.edu.ye ).
• Initial Check: A preliminary screening is conducted to verify that the manuscript meets basic requirements, including formatting, scope, and adherence to submission guidelines. -
Step 2: Initial Review by the Editor-in-Chief / Editorial Board
The manuscript is evaluated to determine:
• Whether it is ready to be sent for peer review.
• Whether it requires preliminary revisions prior to review.
• Whether it is unsuitable and should be rejected or resubmitted after revision.
• A plagiarism check is conducted using Turnitin to ensure originality. -
Step 3: Assignment to Reviewers
If deemed suitable:
• The manuscript is sent in anonymized form to 2–3 academic reviewers.
• Reviewers are given three weeks to complete the review and submit their feedback. -
Step 4: Receiving Reviewer Feedback
Once reviews are submitted, the feedback is compiled and evaluated by the editorial board. A decision is then made:
• Accept: The manuscript is ready for publication.
• Minor Revisions: Small modifications are required.
• Major Revisions: Substantial changes in content or structure are needed.
• Reject with Resubmission Encouraged: The manuscript requires major improvement before reconsideration.
• Reject: The manuscript is unsuitable for publication. -
Step 5: Notification of Decision
• If accepted, authors are informed that the manuscript will appear in the upcoming issue.
• If revisions are needed, the manuscript is returned to the author along with detailed comments.
The revised manuscript will then re-enter the review workflow starting from Step 1.
• If rejected with option to resubmit, the author is encouraged to revise thoroughly before submitting again. -
Step 6: Final Review
If revisions have addressed reviewers’ and editors’ comments satisfactorily, the manuscript receives final acceptance. -
Step 7: Publication
• Once accepted, the manuscript is forwarded to the publication department for final formatting.
• The article is then included in the next issue of the journal.
• The author is formally notified of the publication release date.

Copyright

Manuscript Submission:

- Authors receive a confirmation message acknowledging receipt of their submission.
- The manuscript is reviewed by the student editorial team to ensure its alignment with the journal’s aims and technical requirements (such as formatting and word count).
- Authors are contacted to make any necessary revisions before the manuscript is sent for peer review.
Peer Review Process:
- The manuscript is forwarded to specialized reviewers in the relevant field to provide a detailed evaluation of its quality.
- Based on the reviewers’ reports, a decision is made to accept the manuscript, request revisions, or reject it.
Publication:
- Following final approval, the manuscript is prepared for electronic publication and formatted in accordance with the journal’s visual and design standards.
- The research is then published on the journal’s website, and the authors are formally notified.
Review Policy
The journal follows a rigorous review process to ensure the quality and integrity of the published content. The review policy is based on the following principles:
- Double-Blind Peer Review: This process ensures that the identities of both authors and reviewers remain anonymous, promoting fairness and transparency.
- The review process consists of two stages: an initial review by the student editorial team, followed by a final review conducted by the advisory committee, which includes specialized faculty members.
- Manuscripts are evaluated based on intellectual merit and adherence to the journal’s editorial standards, without discrimination or bias.
- A detailed report is sent to authors, outlining the reviewers’ recommendations for improvement or reasons for rejection, while maintaining full respect for authors’ rights.
- Confidentiality is strictly maintained throughout the review process. Reviewers and student editors are prohibited from sharing the manuscript or using its content for personal benefit, except with the Editor-in-Chief or an authorized representative.
Acceptance Policy
The journal applies strict academic standards to ensure the selection of the most relevant and significant research papers. These standards include:
- Alignment of the manuscript with the journal’s scope and academic objectives.
- Presentation of original and innovative contributions that advance scholarly knowledge.
- Application of reliable and scientifically sound methodologies that produce accurate and reproducible results.
- Clarity of language and academic quality in the presentation of ideas and information.
- Inclusion of strong and relevant references supporting the research content.
- Assurance that the manuscript is not under consideration for publication elsewhere.
- The journal reserves the right to reject a manuscript at any stage prior to or during publication if deemed necessary.
Publication Policy
Hadramout Journal for University Research is committed to publishing high-quality academic research in accordance with international ethical standards. The publication policy emphasizes:
- Publishing original research that presents clear contributions across various academic fields.
- Ensuring transparency and protecting the intellectual property rights of authors.
- Confirming that all submitted manuscripts undergo review by a specialized academic advisory committee to guarantee scientific accuracy and integrity.

Copyright Policy
The journal places great importance on protecting authors’ rights and intellectual property. In accordance with this policy:
- Authors retain the intellectual property rights of their research while granting the journal the right to publish it.
- Published articles are made available open access to enhance academic reach and knowledge sharing.
- The journal employs plagiarism-detection systems to verify academic integrity prior to publication.
Academic Ethics Policy
The journal emphasizes adherence to high standards of academic ethics, which include:
- Rejecting manuscripts that involve plagiarism, data fabrication, or data manipulation.
- Requiring authors to provide accurate information regarding their contributions and to disclose any potential conflicts of interest.
- Ensuring that all research is free from discrimination, bias, or offensive content.
- In cases where ethical violations are discovered after publication, the journal will take appropriate action, including possible retraction of the article.
Open Access Policy
- The journal adopts an open access model, making its academic content freely available to students and researchers locally and globally.
- All articles may be read or downloaded without any fees.
- This policy supports the advancement of scientific communication and broadens the reach of published research.
- Clear copyright protection measures are applied even within the open access framework.
Policy on Disputes and Complaints
- The journal is committed to addressing any disputes or complaints regarding published content or editorial processes in a professional and fair manner.
- Complaints must be submitted in writing through the journal’s official email.
- The complaint is forwarded to the advisory committee for review and resolution.
All parties involved are granted the opportunity to present their views before a final decision is made.
Publication License:
- The Hadhramout Undergraduate Research Journal (HURJ) reserves the full and absolute right to select submissions for publication. The author(s) (hereinafter referred to as "the Author" to include all contributors) acknowledge that no promise or commitment has been made by the journal to publish the submitted work. Submission of a manuscript does not guarantee its publication, although the journal may choose to publish it at its discretion. Works not accepted for the current issue may be considered for a future issue.
- The Author grants HURJ a non-exclusive, worldwide license to publish, reproduce, distribute copies, reprint, and reproduce the submitted work in whole or in part, in any format or medium, whether print or electronic, including digital media such as the internet and the journal’s website. The Author retains copyright ownership of the work and may republish or use the work elsewhere after initial publication in HURJ, provided the original publication is properly cited. The journal does not restrict the Author from using the work in abridged or derivative forms, compilations, or future books, as long as proper academic attribution is maintained.
- The Author affirms and guarantees that the submitted work is original, created by the listed authors, not under review elsewhere, and has not been previously published by any other entity. The Author further declares that they have the right and authority to grant the rights specified herein and that no contractual or other restrictions prevent the publication of the submitted work.
- The Author affirms and guarantees that the submitted work contains no unlawful statements and does not infringe any copyright, trademark, privacy, or other rights of third parties. It does not constitute defamation or libel against any individual, organization, or product. The Author assumes full responsibility for the content of the submission and agrees to indemnify, defend, and hold harmless HURJ from any liability arising from the publication of the submitted work.
- The Author affirms and guarantees that all necessary permissions have been obtained from copyright holders for reproducing any materials included in the submission, including tables, charts, videos, or photographs not owned by the Author.
- The Author affirms and guarantees that all necessary permissions have been obtained for publication from any principal investigator, supervisor, or academic advisor associated with the work.
- The Author affirms and guarantees compliance with all relevant ethical standards in relation to any experiments or research cited in the submission.
- The Author understands that no financial compensation will be provided for publication of the submitted work by HURJ.
- This Publication License is governed by the laws of the Republic of Yemen, without regard to conflicts of law principles. This License represents the final, complete, and exclusive agreement between the parties, superseding any prior or contemporaneous agreements, discussions, representations, or understandings, whether written or oral, and may only be modified in writing signed by both parties.
- HURJ is an academic initiative of Hadhramout University, under the higher education institutions of Yemen. Nothing in this License shall be construed as a waiver, explicit or implied, of any immunities, rights, benefits, protections, or provisions provided under the laws of the Republic of Yemen.
- Submissions must be sent electronically via email. If possible, authors are encouraged to include a brief academic biography.
